Order Processing

Step-by-Step Process

Step 1: Customer Selection

Action: Select or create customer

Existing Customer:

  1. Search by name, phone, or customer code
  2. System displays customer info
  3. Shows credit balance (if applicable)
  4. Displays order history
  5. Auto-fills billing/shipping address

New Customer:

  1. Click "New Customer"
  2. Enter basic information
  3. Customer code auto-generated
  4. Saved for future orders

Benefits:

  • Faster repeat orders
  • Maintain customer history
  • Enable credit sales
  • Better customer service

Step 2: Product Selection

Action: Add products to order

Search Methods:

  • Product name search
  • SKU/barcode scan
  • Browse categories
  • Recent items
  • Frequently purchased (for this customer)

For Each Product:

  1. Select product
  2. Enter quantity
  3. Verify unit price
  4. System checks stock availability
  5. Add to order

Stock Validation:

If Available Stock < Requested Quantity:
→ Warning: "Only X units available"
  → Options:
     - Reduce quantity
     - Check other locations
     - Backorder (if supported)
     - Cancel item

Step 3: Order Review

Information Displayed:

  • Customer name and code
  • List of products, quantities, prices
  • Subtotal
  • Tax (if applicable)
  • Discounts (if any)
  • Total Amount

Actions Available:

  • Edit quantities
  • Remove items
  • Apply discounts
  • Add notes
  • Change pricing (if authorized)

Step 4: Payment Processing

Select Payment Method(s):

Single Payment:

  • Customer pays full amount one way
  • Most common scenario
  • Simple reconciliation

Split Payment:

  • Customer uses multiple methods
  • Example: $500 cash + $300 credit card
  • System ensures total = order amount

Payment Entry:

  1. Select method
  2. Enter amount
  3. Record reference (card, mobile money)
  4. System calculates change (if cash)
  5. Repeat if split payment

Validation:

If Total Payments < Order Amount:
  → Error: "Payment incomplete"
  → Cannot complete sale

If Total Payments > Order Amount:
  → Warning: "Overpayment"
→ Return as change or store credit

Step 5: Order Completion

System Actions:

  1. Generate order code (auto)
  2. Update inventory (reduce stock)
  3. Record payment
  4. Update customer balance (if credit)
  5. Create receipt
  6. Update financial records
  7. Refresh dashboard metrics
  8. Create installation service tickets (if order includes machine products)

Automatic Installation Tickets:

When an order is saved, the system checks each line item. For products in the Printer category:

  • One Installation service ticket is created per unit sold
  • Tickets are created immediately—even if payment is pending or partial
  • Each ticket links to the sales order and customer
  • Duplicate tickets are prevented if the process is retried

Service staff should review new installation tickets in Services and assign a technician. See Service Management module.

Receipt Generation:

  • Company information
  • Customer details
  • Order date and number
  • Itemized list
  • Payment methods
  • Total amount
  • Staff member name

Next Steps:

  • Print receipt
  • Email receipt (if email provided)
  • Fulfill order (pick and pack)
  • Customer confirmation

Information Needed:

  • Original sale/order number
  • Products being returned (quantities capped by returnable qty after prior returns)
  • Reason for return
  • Product condition (Good = restock on approval, Damaged = write-off)
  • Intended refund method (Cash, Original payment, Store credit)

System behavior: Creates a return in Pending status. No inventory or financial changes yet.

Step 2: Supervisor Approval

Role: Supervisor / Manager / Admin

Actions:

  • Approve: Restores stock for Good condition items; processes refund or credit note
  • Reject: No stock or financial impact

Step 3: Completion

Role: Finance / Supervisor

Mark return Completed after refund settlement is confirmed.

Step 4: Processing (on Approve)

System Actions:

  1. Validate cumulative return quantities against original sale
  2. Restore inventory (available + onHand) for resaleable lines
  3. Create Refund record (Cash / Original payment) or Credit note (Store credit)
  4. Update customer balance when store credit applies

Inventory Impact (on Approve only):

If Product Good / resaleable:
→ Return to inventory (increase available + onHand)

If Product Damaged:
→ Write off (no stock increase)

Step 5: Financial Processing

Refund Options:

Cash / Original payment:

  • Refund record linked to sales return and order

Store credit:
